Up, up, then…away?
Attendee numbers change. Continually. The size of a room is fixed. The number of bedrooms is a constant. It sounds like basic maths, right? But with the temptation to have more and more attendees, these simple facts can be overlooked, especially if you’re not used to organising events.
Top tip #1:
Always choose a hotel, venue or meeting room that has a maximum capacity 20-25% BIGGER than your expected numbers.
Cram your attendees into a conference room like sardines (if the venue’s H&S and evacuation policies allow). We’ve all experienced one of those meetings. It is difficult to concentrate on content when you’re hot and uncomfortable! Pay the cancellation fees and move your entire meeting to another venue, that’s if you can find one with availability. Say ‘no’ to attendees. And lose the benefit of their attendance
So next time your choosing a venue ‘Go Large’ and don’t risk the alternative.
